HCi Claiming App Privacy
HCi is committed to protecting and maintaining the privacy of all individuals we deal with, in accordance with the Privacy Act 1988 (Cth), associated Australian Privacy Principles (APPs) and other relevant legislation, including State based legislation.
Privacy when using the HCi claiming app
When using the HCi Claiming App we collect information about you, such as your name, member number, email address and details in whatever documents you attach. This information is only used for processing your claim(s). Your personal information is only disclosed, if necessary, to persons or organisations including, but not limited to, our health service providers, other service providers, professional advisers and regulatory bodies. We take all reasonable steps to protect your personal information and will never sell it.
If you do not provide any personal information, you are unable to submit claims via the app. The HCi Claiming App is being retired in February 2026. Claims can be submitted via logging into our secure OMS portal, mailing receipts and a claims form to us, or visiting our Burnie office.
Data Retention
HCi retains personal information collected through the HCi Claiming App only for as long as it is necessary to process claims and meet our legal, regulatory, and operational obligations.
Claim‑related information, including submitted documents and personal details, is retained in accordance with applicable Australian health records, taxation, and financial record‑keeping laws. Typically, this means it is held for a minimum of 7–10 years from the date of claim processing, unless a longer retention period is required by law.
Once personal information is no longer required for these purposes, HCi takes reasonable steps to securely destroy or permanently de‑identify the data.
Data that may be temporarily stored on a user’s device by the app (such as cached files) can be removed at any time by clearing the app’s cache and/or uninstalling the HCi Claiming App from the device.
Data Deletion
Users may request deletion of their personal information at any time by contacting HCi. Where deletion is requested, HCi will remove or de‑identify personal information that is not required to be retained for legal, regulatory, or contractual reasons. Information that must be retained by law will be securely stored and restricted from further use until it can be lawfully deleted.
HCi will respond to deletion requests within a reasonable timeframe in accordance with applicable privacy laws.
